Receptionist/Office Admin/Super Hero

Job Type: Part-time

We are looking for someone to help keep the ship of Nail chugging along as we strive to remain one of the region’s premier creative agencies. This means we need your help being our friendly conduit to the outside world while helping to keep us organized, fed and generally happy. This means you’ll be doing things like:

•  Greet visitors in a friendly and professional manner. We don’t get loads of visitors, but we try to treat them like royalty when we do.
•  Answer telephone calls promptly and courteously. Again, it’s 2019 and we’re a digital agency, so it’s not like the phone is ringing off the hook—in fact, it hasn’t rung once since I started writing this. Nonetheless, calls need to be screened, transferred, etc.
•  Receive and distribute incoming mail and packages. Yup, we still get mail!
•  Prepare and posts outgoing mail and express envelopes daily. And we occasionally send it too.
•  Perform office management functions including ordering agency lunches, client meeting lunches, making restaurant reservations, coordinating travel, making rental car arrangements, running errands and handling ad hoc requests.
•  Maintains orderly appearance of reception, storage, kitchen, conference rooms and common areas on a daily basis and orders and stocks office and kitchen supplies. Part of this task will involve regular friendly guilt-tripping of the rest of us to clean up after ourselves.
•  Provide administrative support to team members such as coordinating large-scale meetings, managing expenses and making travel arrangements.
•  Proactively address and resolve problems associated with all building services including- maintenance, printer services, parking, and conference rooms.
•  May occasionally provide clerical and administrative support on various projects throughout the agency.

•  You maintain a highly confidential nature in all aspects of the job
•  You work well in a flexible, dynamic and fast-paced working environment
•  You like dogs, because there will usually be one or two wandering the office.
