Business Administration Manager

Job Description

As the Business Administration Manager, you are a key ingredient in our operational excellence. This dynamic, service-oriented role requires the dedication of setting protocol, along with the flexibility to problem solve within our four walls, and within the processes and systems that run our day-to-day experience in person and online. This position is an integral part of our team and executes a variety of administrative tasks to support business needs.


Responsibilities include

Ensure the office consistently runs smoothly, keep track of inventory, meticulously maintain the facilities budget, and manage all office-related vendor relationships such as cleaners, IT support, landlord.

Act as chief problem solver and point of contact for our physical space, proactively identifying areas of improvement, facilitating repairs, extermination and cleaning services, parking validation, IT outage repairs and stationery.

Be an active participant in shaping the success of our newer hybrid work environment to help sustain a common work culture.

Coordinate new hire onboarding from setting up new employees in the software ecosystem at NAIL (Wrike, ADP etc.) and getting them the necessary work equipment (computer, business cards), to ensuring they have a place to sit and are trained on all systems administration within your purview.

Cultivate and foster a positive and productive culture in the office; provide top-notch customer service for employees, candidates, visitors and guests answering questions, and assisting with requests; oversee general office communications and announcements.

Work cross functionally with internal NAIL teams on office expansions, moves, and improvement initiatives.

Plan and execute company sponsored events (both in the office and off-site), as well as client meetings.

Oversee all of the office supply ordering and electronic procurement; manage all software licensing and subscription renewals across the agency

Work closely with catering and snack vendors on orders and spend, ensuring the kitchen is clean and well-stocked.


Education and Experiences

2+ years’ experience in a role managing office operations, marketing operations and/or logistics

Excellent computer skills, clearly tech savvy, with experience in creative operations (like Google suite docs/sheets/slides); software such as Wrike and Quickbooks Online a plus.

Demonstrated customer service skills, including approachability, understanding, attentiveness, empathy and positivity.

Strong problem-solving skills, looks for innovative and creative solutions and is solution-oriented.

Have experience with managing, creating and forecasting budgets.

Ability to work under pressure; deadline focused, organized, and able to prioritize multiple projects at any one time.

Has the ability to quickly pivot – adapting to change when needed.

Exceptional written and verbal communication skills.

Can-do attitude and strives to do more for a growing team!

This is a hands-on, full-time role, with a majority of time spent at our physical space in downtown Providence, Rhode Island.
